Requests & Shipments

Overview

The Dashboard Home page provides a bird’s eye view of Requests & Shipments in key states.

Each session, request or shipment receives a unique Shortcode. This is is Arta’s unique reference. You can additionally include reference fields, both public and internal facing, for your team to manage logistics more efficiently.

Bookings, Requests and Shipments

Booking Customers can input or edit the destination address, generating requests to different locations.

Request A single combination of origin and destination information will generate multiple quotes.

Shipment The selected quote will alert Arta of a physical movement that needs to occur, which can now be tracked by the customer.

Searching & Filtering in the Dashboard

Searching Navigate using the sidebar and search using Arta’s Shortcode, or your company’s Public Reference.

Search by any reference, contact or address.

  • Shortcodes that start with S (Shipments) are searchable from the Home page or under Shipments
  • Shortcodes that start with R (Requests) are only searchable under Request
  • Shortcodes that start with B (Bookings) are only searchable under Hosted Products > Bookings

Filtering

  • Basic Filters: Status, Quote Type, Exception, Followed By
  • Timeline: Booked, Collection dates, Delivery dates, Completed
  • Geography: Origin, Destination

New Quote Request

To create a Request via the Dashboard, Arta has an intuitive online form that can capture locations, objects and services required for a shipment to provide a quote. Reference information, object images and transit insurance can all be added from this form.

A more abbreviated form is used to create Bookings and Estimates.

Quote Review and Booking

Once a Request is generated, you will be brought to the Request detail page. This will include a tab of quotes, with itemized included services and optional services.

Every request will have a status, likely Quoted but occasionally Disqualified if we cannot provide instant pricing.

If complete shipment information is provided - a full address and contact information - there will be a Book button to convert that Request and Quote into a Shipment. The Request status will become ‘Closed’.

Shipments and Tracking

When a Shipment is booked, Arta will provide information about the package and tracking. Tracking details include a public-facing URL for your buyers that includes the same critical information available on the Dashboard like delivery dates, current shipment status, package scans if available.

Tools

  • Comments On each Request or Shipment is the ability to leave a Comment for the Arta team. To be notified of a response, go to your Inbox and subscribe to New Comment.
  • Documents To share documents with Arta, you can upload or view documents Arta has added. Communications To view all emails and SMS messages sent to the buyer, under Communications you can see messages sent, if they delivered and click the button on the far right to view the content.
  • Actions To take action, such as Copy a Request or ask to Hold to Collect, this dropdown will show you what actions are available at that time. See actions below.
  • Go To The Go To dropdown will have related publicly accessible URLs, such as Tracking.

Actions

Request

  • Use Copy Request to edit details, and Arta will pre-populate the request form with current information.
  • If you have specific deadlines or other complex details, ask Arta for a Custom Request.
  • When you want to Share Request to have the customer review and potentially book a quote.

Booking

  • Share Booking if you want the buyer to confirm their address, review quotes and select and pay for their shipment.

Shipment

  • If the shipment is not ready for release, Request Hold to Collect and Arta will hold off scheduling a pickup.
